How much does a workplace water cooler cost in 2026?

If you are pricing up a water cooler for the office, the headline cost is only part of the story. Most UK suppliers (including us) work on a monthly fee that covers the equipment, the install, the servicing and the filters. That structure makes it easier to budget, but it can also make like-for-like comparisons harder. This piece breaks down what offices are actually paying in 2026, what should be included, and how to make sure you are comparing the same thing across suppliers.

The short answer

Most UK office water cooler accounts sit between £35 and £140 per month all-in, depending on the format and the volume. Boiling taps and 4-in-1 systems sit higher than basic coolers because the unit is more involved. Multi-site contracts get better per-site rates.

Indicative monthly costs

These are the typical ranges we quote across the UK in 2026. Your number will depend on the team size, the volume of water, and what is included.

  • Bottle-fed cooler: £25 to £55 per month, plus bottle costs (typically £6 to £8 per 19-litre bottle delivered)
  • Mains-fed cooler (chilled + ambient): £40 to £75 per month, all-in
  • Mains-fed 4-in-1 (chilled, ambient, sparkling, hot): £75 to £140 per month, all-in
  • Boiling water tap: £45 to £120 per month, all-in (see our boiling water taps page)
  • Sparkling tap + dispenser: £80 to £150 per month, including CO₂

Coffee machines and vending are billed separately, on similar all-in monthly structures.

What should be in the fee

A reputable UK supplier should include the following in the monthly fee with no extras on top:

  • The equipment itself (no upfront cost or capital outlay)
  • Engineer-led installation, including any waste-line work
  • Scheduled service visits (typically twice a year)
  • All filter changes
  • All consumables (CO₂ canisters for sparkling, descaling materials)
  • 24-hour breakdown response or call-out
  • A named account manager and a single number to ring

If any of those are charged separately, the headline monthly figure is misleading. Be especially careful of suppliers who quote a low monthly figure and then charge for filter changes, callouts or installation as extras.

What drives the price up or down

The biggest factors that move a quote:

  • Number of outlets. A 4-in-1 tap costs more than a chilled-only cooler, but might replace a cooler, kettle and bottled sparkling all in one go.
  • Volume. Heavier-use offices need more frequent service visits and consumables, which pushes the fee up.
  • Multi-site. Multiple sites under one contract usually get a per-site discount, especially if they are within efficient driving distance of each other.
  • Installation complexity. Listed buildings, complex cabinet work or building-management restrictions can add to the upfront effort, though we usually absorb most of that into the monthly fee.

Contract length and notice

We run on month-to-month contracts with a thirty-day notice period. No lock-ins, no long minimum terms, no early-exit fees. Some suppliers still push three or five year contracts. We would not sign one ourselves and we do not ask our customers to either.

Should you buy outright or hire?

For most offices, hiring (with everything included) works out better than buying because the maintenance, filter changes and breakdown cover are folded in. Buying outright makes sense if you have an in-house facilities team that will handle the servicing themselves, or if the unit is going into a specialist hospitality setting that benefits from being capital.

Getting a fair comparison

When you are getting quotes from multiple suppliers, ask each one to put the following in writing:

  1. The monthly fee, with no extras
  2. The contract length and notice period
  3. How many service visits are included per year
  4. Filter changes — included or not
  5. Breakdown response time
  6. Who does the engineering — in-house or subcontracted

If any of those answers come back vague, the supplier is either not very organised or is hoping you will not ask. Either way it is a flag.
